SENIOR RESERVATION AGENT.  August 27-04-2005 to 11-12-06 Hilton Dubai Jumeirah, Dubai, UAE (389 Rooms) & Hilton Dubai Creek (184 Rooms ) Key Responsibilities  Assists Director of Sales /Director of Revenue in all duties pertaining to the department as needed.  To carry out regular spot checks within the department to ensure that standards outlined in the SOPs are adhered to.  To ensure that all concerned departments are aware of all ongoing promotions and booking procedures.  Assist in training the department staff according to the Standard operations policies and procedure.  Identifies and evaluates business trends& needs and uses this information to set and review departmental objectives.  Continuously monitors and measure telephone manners, handling of VIP guests and general operational performance of reservations staff.  Ensure all visa requests for guests are submitted as and when reservations are made with all appropriate documents.  To carry out and supervise the regularity of appraisals for the entire team by utilizing proper formats.  To assist the Asst. reservations Manager and in their duties as required.  Demonstrates energy and enthusiasm with work while taking responsibility for anticipating, meeting and exceeding customers’ needs. Administrational:-  Responsible to ensure that daily files have been updated accurately by each individual Sales Agent and correspondence has been correctly been posted on S Drive as well.  Ensure that all activities and documents adhere to and support the Planet Group Quality Management System.  Shares the vision and mission of Plan Group with all colleagues and reflects both in the actions of the management. Operational :-  Defines, implements, monitors and controls the entire Reservations Operation according to the department Standards Operations Procedure Manual.  Handles day to day operations and delegates tasks to the Asst Reservations Managers and Supervisors.  Attends to all enquiries, complaints/comments and requests regarding reservations and/or reservations operations procedures in a timely manner.  Ensures all reservation requests via email, fax, extranets and are replied to within 24 hours of receipt, whenever possible.  Ensures that the Rota is readily available for everyone within the department at least two weeks prior.  To supervise and ensure the smooth and efficient daily operation of the department, ensuring everyone contacting the Room Reservations Department receives an optimum level of service and care at all times.  Regularly update the Sales report make changes where and when necessary and keep updated hardcopies available for all team members to access as needed.  To monitor overflow telephone calls to central Reservations, incoming telephone traffic and business trends and prepare the Rota to ensure optimum coverage of the department at all times.  To ensure that staff working hours are recorded accurately and in accordance with the hotel policies and procedures.  To arrange, coordinate and chair weekly departmental management meetings and quarterly departmental meetings whenever possible.  To assist in the recruitment of staff for the Reservations Department by interviewing possible candidates  To ensure that the 5 and 2 day arrival checks are carried out on a daily basis.  Monitor input quality by checking the ‘Entered on By’ report on a daily basis.
